Can a bill of sale be handwritten?
Yes, a handwritten vehicle sale record can be acceptable when it meets the receiving agency’s rules. Filling in an official form by hand and drafting your own receipt are two different choices.

First choose: an official form or your own record?
Complete the official form by hand
This gives you the agency’s fields and certifications in front of you. New York’s MV-912 allows printed or typed entries, with signatures completed separately. Oregon specifies ink and original-signature rules.

Check whether the receiving agency accepts it and what it must contain. New York lists the required information for an acceptable private-sale bill of sale. Do not assume that a short receipt satisfies every state’s requirements.
New York private-sale requirements ↗For a routine transaction, start with the official form linked in your state guide. It reduces the chance of leaving out an agency-specific field. This guide concerns private vehicle sales; other kinds of property can involve different paperwork.
What should you write down?
As a practical preparation step, gather the facts below before completing the state form. This is a working checklist, not a universal substitute for that form.
- People
- The buyer’s and seller’s full names, plus addresses wherever the form requests them. Check names against the ownership paperwork.
- Vehicle
- Year, make, model and VIN. Compare the VIN on the vehicle with the documents rather than copying from an advertisement.
- Transaction
- The actual sale date and price, or the applicable gift information. Keep any agreed terms clear and consistent with the rest of the paperwork.
- Signatures
- Use the signature lines the agency requires. For example, New York calls for both parties’ names and signatures. Do not substitute a typed name where a signature is needed.
- Additional fields
- Check mileage, title number, plate information and certifications on the actual form. A homemade mileage note may not replace a required odometer document.

PREPARATION EXAMPLE · NOT A FILING FORM
Seller: Alex Example
Buyer: Jordan Sample
Vehicle: 2018 Example Motors Sedan
VIN: [copy the actual VIN from the vehicle and ownership document]
Sale date: October 20, 2026
Sale price: $6,500
Addresses: [enter where the official form requests them]
Signatures and dates: [complete as instructed on the official form]
The example deliberately leaves the VIN and signatures unfilled. Inventing a plausible VIN or copying another person’s signature would create a false record. Transfer your own accurate details to the correct form and complete its remaining fields, including mileage where required.
A note saying only “car sold for $6,500” leaves the vehicle, parties and transaction date unclear. More detail makes the record useful, but agency acceptance still depends on the applicable instructions.
Ink, corrections and originals matter.
Oregon’s Form 735-501 specifies blue or black ink, prohibits whiteout or crossing out names, and rejects photocopies of original signatures. If you make an error, check the correction process before altering the document; starting with a clean form may be the simplest practical option.
Read Oregon’s form instructions ↗Decide who needs the original before everyone leaves. In New York, the buyer submits the original bill of sale to DMV with the ownership documents; both parties can retain photocopies. A photo for your records does not automatically replace an original needed for filing.
New York’s original-document instructions ↗Common questions
Can I use plain paper?+
Possibly, if the receiving agency accepts a separately drafted record with all required information. New York provides an acceptable-information list. Using the official form is a practical way to avoid guessing about fields and certifications.
Does handwriting mean it must be notarized?+
Handwriting alone does not answer the notarization question. Check the state’s instructions for that document. Compare the official guidance for six states →
Can a handwritten bill of sale replace a missing title?+
Do not assume so. Sale evidence and ownership evidence serve different purposes. Resolve a missing title or an eligible alternative with the agency before relying on the receipt. See how a bill of sale differs from a title →
